IMPORTANT ANNOUNCEMENT RE: TITLE II-A GRANTS (10/3/2024)

If you are not receiving notifications or bulk emails sent via eGMS, please reach out to your IT department and ask them to whitelist noreply@egrantsmanagement.com.
Always remember to check your Spam folder for missing emails as well.

All questions regarding this system should be submitted via Feedback Form, as follows:
Go to 
Contact WDE option on the left-hand side, fill out the form and submit it to the WDE. You do not have to be a current user (have a login/password) in order to use it.
Please do not email directly to the eGMS Program Manager; your email will go to the back of the queue and will not be addressed as quickly as the inquiries submitted via Feedback Form.
Contact individual program managers with questions specific to their grant applications.
They were the ones who designed those applications and were also involved in the implementation process from the very beginning, thus, they are best equipped to assist you with the specifics of their grants.
IMPORTANT NEWS (7/23/2024)
Announcement 1:
We are currently working on migrating all ongoing 2023-24 grants that will continue into the next year from the old system to the new one.
In order to facilitate a smooth transition, the WDE has set the following deadlines for all 2023-24 grants that do not expire at the end of this year:

 - September 30, 2024 as a definite stop date to turn cash requests off in the old GMS and on in the new eGMS, with the exception of 2023-24 Title I, Part A.
 - October 15, 2024 is the tentative date for the remaining Title I, Part A balance to be published in eGMS for all districts that have met carryover.
Announcement 2: 
Guidelines for submitting cash requests in eGMS are now available. For more information, please see LEA Resources section below.
Important: Please remember that in the new eGMS, you can only submit one cash request per program for each batch.
As soon as that cash request is processed through WOLFS, you can then submit another cash request for that program.
Announcement 3: 
Guidance on how to complete budget for an approved competitive application is now available. For more information, please see LEA Resources section below.
ADDING/CHANGING USERS (5/15/2024)
If you find yourself in need of adding a new user or changing info for an existing one, kindly follow the steps below:
1. From the left-side menu, go to Application Supplement -> Application Supplements.
2. Click on eGMS User Request Form.
3. Change Status from Application Supplement Not Started to Application Supplement Started.
4. Fill out all sections of the eGMS User Request Form.
5. Change Status from Application Supplement Started to Application Supplement Completed. By doing so, you will effectively submit the form to the WDE for further processing.
Note: There is only one person per LEA who has the capacity to manage this form. If you are not that person, please contact them with your request. 
SUBMISSION STATUS (5/14/2024)
As soon as you change the status of your Application or Application Supplement to Completed, the system sends it to the Superintendent/Authorized Representative for review and submission to the WDE. Once they change the status to LEA Superintendent/Authorized Representative Approved, the system notifies all relevant parties at the WDE right away. Please note that you do not need to let us know about your submission in a separate email.
LEAs are notified as soon as the reviewer makes a decision (Approved, Pending/Need more information, Rejected).
This applies to all Application Supplements, including SAM ID Verifications and eGMS User Request Forms, they will be reviewed within two business days after their submission.
Reach out to us if it has been over two business days, and you still haven't heard back from us with either an approval or a rejection. If it hasn't been that long - we are still working on your submission.

eGMS News and Updates 
As an added resource to the LEAs, the WDE maintains an Emergency Funds and eGMS Support Site
The site is regularly updated to reflect eGMS-related news and developments. For more information and additional guidance, please visit New eGMS
Recorded Trainings 
1. In April of 2024, EMS LINQ representatives visited Cheyenne to provide initial training for all LEA users.
The online training was recorded and uploaded on the Emergency Funds and eGMS Support Site under the LEA Training tab.
2. During the 2024 STAR event in Cody (May 13 - May 15), LINQ representatives conducted two training sessions on the fiscal aspects of the new eGMS.
Recordings of both presentations are uploaded on the Support Site under the LEA Training tab.
How To Submit Original Applications, SAM ID Verifications and Assurances to the WDE, and How to Revise (Amend) Approved Applications
Detailed step-by-step instructions on how to start and submit a grant application in this system (including SAM ID and Assurances submissions, as well as application revisions/amendments) are available on the Support Site under the  eGMS Guidance tab. 
Kindly read these instructions, as they have answers to substantially most issues incurred during the application preparation and submission process, including SAM ID error messages.
How to Submit Cash Requests
Guidelines for submitting cash requests in eGMS is available on the Support Site under the eGMS Guidance  tab  here
Completing Budget for Competitive Grants
Instructions on how to set up budget for an approved competitive grant are available on the Support Site under the eGMS Guidance tab here. (CTE Professional Development competitive grant is used as an example.)
